Privacy Policy

1. Introduction

We are committed to safeguarding the privacy of your data; in this policy we explain how we treat your personal information. This applies to any paper-based records we keep in our office and to all electronic data we keep on databases, hard drives and any other storage devices we use.

2. GDPR

At MTsail Maritime Training, we comply with the General Data Protection Regulation (GDPR, in force 25 May 2018).

We collect data lawfully, fairly and transparently. We tell our students what we will do with their data at the time we collect it. We only use data for the purposes we describe, and do not repurpose it.

Our lawful bases for processing (following a legitimate-interests assessment) are:

• Contract — to fulfil our contractual obligations to our students, and to respond to pre-booking enquiries.
• Legitimate interests — we use people's data in ways they would reasonably expect and which have minimal privacy impact. The information we collect is limited to what we need to take a booking (name, address, nationality, passport number, date of birth and contact details). As a training school, we need to collect data so that we can deliver training courses safely and efficiently. We ask each student to complete a Fitness-to-Take-Part and Health Declaration.

3. Sharing data

We share data with:

• RYA — on successful course completion your name, contact details, date of birth, certificate number and date of issue are shared with the RYA through a secure web portal on www.rya.org.uk. See rya.org.uk/go/privacy.

4. Medical information

We keep medical data strictly limited to the Fitness-to-Take-Part and Health Declaration plus any appropriate adjustments we have put in place. Medical forms are stored securely for the duration of the course and destroyed (shredded) at the end. Medical forms contain an express consent statement.

5. Emergency contact details

We require emergency contact details for each student so that in the event of an accident we can contact someone who can help us reach your family and friends.
